IT Recharges
Revival Blue Limited · Alcom IT invoice split by branch
How the split works
- IT support: each branch pays for its own Guardian lines (the GUA codes) on the Alcom invoice. Blue HQ's lines stay with Revival Blue.
- Microsoft 365: each user on the WORKED ON sheet is charged the invoice unit price for every licence they hold. Free licences are £0.
- Dropbox: each user on the DROPBOX sheet is charged the invoice Dropbox price.
- Kept by Revival Blue: head office machines and licences, and lines with no user data (Exclaimer, Microsoft 365 Backup, pro rata adjustments).
- Each branch gets one invoice, numbered in IT Recharges' own series (ITR-000001 and on), and the Sage upload has one line per invoice.

Things to check
Charges by branch
Branches with no sales account code show a box so you can add one. It's remembered for next month.
Branch matching
The invoice, the user export and the Dropbox sheet each spell branch names their own way. This is how each name was matched to a branch on the list. Change any of them and the choice is remembered for next month.
Invoice reconciliation
Every invoice line with what was recharged and what Revival Blue keeps. The bottom line ties back to the invoice sub-total.
Settings
Only admins change these settings. The invoice date is yours to set for this run.
Invoices are numbered in account order from the next invoice number. IT Recharges keeps its own series so it never clashes with Sage's numbers, and moves it on when a month's invoices or Sage file are first downloaded; a month run again keeps its numbers. If Sage's upload won't take letters, change the next number to digits only, such as 0001000001. The uplift is added to each unit price and rounded to the penny, so invoices show one price per item and no uplift line. In Reference you can use {monthname} (October), {month} (October 2026) and {invoice} (the Alcom invoice number).
